Frequently Asked Questions

Where are the servers located / Where is my data hosted?

Nimbus has servers in Australia, USA, UK and South Africa.

If you purchase an account via the web, the system will verify your location and create your Nimbus account on the appropriate regional host.

How is the data backed up?

Backups are included as part of the subscription. Data is dynamically backed up by Amazon Web Services as part of their core service, providing offsite backups and disaster recovery.

Do I have to commit to a long-term contract?

No, your account with Nimbus is month-to-month with no lock-in contracts.

Does Nimbus offer a free trial?

No, we do not offer a free trial version.  Our product is honed to compliment and enhance your systems, we provide professional advice on how to do that best. In exchange for our consulting time, we require an account purchase. However, once you have signed up there is a month-to-month subscription, which can be cancelled at any time.

What happens to my data if I decide to cancel my subscription?

We will assist you to download a copy of your data as it is your data and belongs to you. The files will be provided in the same logical folder hierarchy as it was stored in Nimbus. When you cancel your subscription, your data will be removed from our servers after 180 days (as per our Terms and Conditions).

What level of support does Nimbus provide?

We provide email, telephone and online support.

Do we need training?

With Nimbus Basic, 2 hours training is recommended.

With Nimbus On Ramp and Professional, the system is matched to your internal processes and training is recommended in order for you to get maximum results. Training is tailored to your requirements.

Does client records need to be set up and maintained manually?

If Nimbus is synced to the Practice Management or CRM system, the manual set up of clients in Nimbus is not necessary – it all just happens auto-magically whenever the PM is updated. If there is no integration, the client records need to be maintained manually.

Is there a limit to how many client's are able to use the portal?

No. With any Nimbus subscription, there are no limits to the number of Clients who can login to the Nimbus Portal.  Any Nimbus subscription is priced by the number of staff in the Business, and as such gives us a metric for the size of the account.

Will the digital signatures applied in the Nimbus system be legally valid in Court (Australia specifically and internationally)?

Nimbus Digital Document Signing uses the standard PKI #7 Adobe DDS specification for PDF documents. It meets the legislated guidelines for digital signatures in Australia and the more stringent overseas standards including the Canadian Pipeda and European PAdES.

Can I send multiple documents or only single pages for signing?

With Nimbus Basic you can share as many documents as you wish and request that the documents be signed.  With Nimbus Professional you have the ability to send custom emails to Clients. Moreover, you can set up automatic reminder emails for the client contacts who are tardy in signing documents.

Can I download multiple files or entire folders in bulk?

Yes. This is possible with Nimbus On Ramp and Professional. Nimbus uses a module called Nimbus AutoMate which is installed locally on your server / PC.

This synchronises the data that is stored in your Nimbus account to a local location (on your server / PC). The synchronisation process can be configured to:

  • sync both from the local store to Nimbus
  • sync from Nimbus to the local store
  • sync both ways

Larger businesses use this option so that they do not need to manually download information that has been uploaded to the Nimbus account by their clients. Whatever is uploaded, is then automatically synced down to the local folder store.

Does the Webform Checklists come with templates / content?

The standard email templates and library of some 40 Webform Checklists are included in the Nimbus Professional subscription.  The standard Webform Checklists can then be used as a template to customise as well as the email templates, or both can be created from scratch.

Can I preview files before downloading?

Yes, Nimbus is able to display documents in the system without having to download. File types include:

  • PDF files
  • Microsoft Word documents
  • Excel files
  • PowerPoint files
  • Image files (jpg, png, bmp, etc)

Does Nimbus have a 'mail merge' feature so that we can easily merge templates (letters, reports and other documents) to specific clients and client groups?

Yes. Nimbus allows you to setup any number of document templates (these can be either word based or excel based) which then allows you to create documents for your clients based off these templates. The pre-defined mail merge fields will be populated with the client contact information on document creation.

Nimbus
